When you take part in something we run – booking onto a rally, entering a competition or raffle, making a donation, or buying something from us – we ask only for the details needed to run it: typically your name, contact details, and where relevant an address or phone number. We use them for that activity alone, share them only with the people running it (for example, rally marshals), and delete them as soon as practically possible once the activity is over.

What We Collect and Why

Just visiting
Whether you're registered or just browsing, we collect:
- IP address, cookies, and device ID – for site functionality, security, and keeping things running smoothly
- Page browsing history and site interactions – to personalise your experience and improve the site
- Google Analytics data – anonymised analytical insights to help us understand how the site is used (Google's privacy policy)
- Ad interaction data – so the adverts you see are at least vaguely relevant to you
Your account
Once you create an account, we also hold:
- Username, password, and email address – to manage your account and let you log in
- Communication history with the admin team – so we have a record of any support or moderation interactions
- Account activity notes – used for moderation and member support purposes
- Optional details you choose to add – such as your real name, general location, or date of birth, plus your email and newsletter preferences
Things you post for others to see
This covers forum posts, classified adverts, reviews and check-ins, social group content, forum journals, and anything else you publish on the site. A few things worth bearing in mind:
- Your username and general location may be visible to other members and guests
- Public posts are indexed by search engines – so once it's out there, it's out there
- A classified advert shows whatever you put in it, including any contact details you choose to include, to anyone who can view the listing
- Social group content is visible to the members of that group
- Please don't share sensitive personal information in your posts – things like financial details, full addresses, and so on
Things you keep privately with us
Some parts of the site are a private store rather than a public noticeboard. These are private to you by default:
- Direct messages – see "How and Where We Store Your Data" below for an important note about these
- Your Travel Journal – if you use the Journal app, we store what you put in it: the places you've stayed and the dates, your travel days (including mileage and fuel), your private diary, notes on attractions and people met, and any document reminder dates you add (MOT, insurance, GHIC and so on). Only two things ever leave your journal. Tours: sharing one is always your choice, made tour by tour – and even on a shared tour, your diary stays private. The community map: when you save a campsite or other stopover, its details – along with your rating or review and any photos you choose for the community map – are submitted to the community map by default, and appear once a moderator has approved them. If you'd rather not, tap "Keep this site private" when you save it. Everything else stays private to you. You can backup and export your journal to a spreadsheet or PDF at any time, and you can delete the Journal account at any time. Like the rest of the site, journal data resides in our databases and could be accessed by the small admin team who maintain the systems – we don't browse it, but we could see it.

- Legitimate interests – keeping the site secure, moderated, and working properly
- Consent – newsletters and optional cookies: entirely up to you, and you can withdraw at any time
- Legal obligation – the rare occasions the law requires something of us (see "Third-Party Disclosure" and "Security Breaches" below)
Your Rights and Choices
You're in control of your data. Specifically, you can:
- Update your registration details and email preferences at any time via your profile page
- Opt out of newsletters and notifications whenever you like
- Ask for a copy of the data we hold about you (see "Requesting Your Data" below)
- Ask us to correct anything that's wrong
- Take your journal with you – the export feature means your travel data is portable at any time
- Request account deletion by contacting Admin – your posts will remain on the forum, but personal identifiers will be removed, and your private data (including your journal) is deleted
- Complain to the Information Commissioner's Office (ico.org.uk) if you think we've got something wrong – though we'd rather you told us first so we can put it right
Cookies and Tracking
- Cookies help us recognise returning members and give you a more personalised experience
- You can manage your cookie preferences via your browser settings or our cookie consent pop-up
- Third-party cookies may be used for analytics and advertising – but they are not given access to your personal data
- Our analytics and advertising partners may process data outside the UK, under their own published safeguards
Subscriptions and Payments
If you take out a paid membership, payments are handled by Stripe. They collect your email address, payment details, and postcode directly, and process your data under their own privacy policy. We don't hold your payment card details ourselves.
How and Where We Store Your Data
- Your data – including your Travel Journal – is stored securely on UK-based servers
- The maps in the Journal app load their tiles from OpenStreetMap, who see your IP address and the area of map you're viewing, but nothing from your journal itself
- Important: Direct messages and conversations are stored unencrypted and may be accessed by admin staff for moderation purposes. If you need to share something truly confidential, please use an external secure platform rather than the forum's direct messaging system
How Long We Keep Things
- Your account and everything in it: for as long as your account is active
- If your paid subscription lapses, your journal stays put, waiting for you to come back
- Rally bookings and other sign-up details: deleted as soon as they are not required for the event
- Payment records: kept by Stripe, and by us only as far as accounting law requires
- We review what we're holding regularly, and we don't keep data without a genuine reason
